Escape Room Team Building: Formats, Group Sizes and Tips

A team works together to defuse a VR bomb at a boardroom table

An escape room is an easy team building idea to sell internally: everyone understands it, and nobody has to sing or play sport. The harder part is choosing a version that fits your headcount, space and people.

Escape room team building is a good way to see how a group communicates under time pressure. It does not guarantee better collaboration afterwards, but it gives people a shared problem and a clear finish line. Below: what it shows you, four formats, and how to pick one.

Does escape room team building actually work?

It works as a shared challenge that puts people in a different role from their day job, and it is easy to run for mixed groups. We would not promise it fixes a team, and you should be wary of any supplier that does.

What it does is create a short, clear task where communication either happens or does not. That suits an away day, onboarding or a recently merged department. Use a debrief to make it count.

What an escape room shows you about your team

An escape room makes working habits visible within minutes. You can watch for these behaviours and talk about them afterwards:

  • Communication: who shares what they have found, and who keeps it to themselves.
  • Problem solving: whether the team splits tasks or everyone crowds around one puzzle.
  • Roles: who naturally leads, who keeps time and who notices the small detail.
  • Trust: whether people hand over a clue to a teammate or insist on solving it themselves.
  • Pressure: how the group behaves as the clock runs down.

These are observations, not scores. Use them to start a conversation.

Four ways to run an escape room for your team

There are four common formats: a venue room, a VR escape room, a kit brought to your workplace, and an online room. They differ most in group size, space and travel.

Venue escape room

A booked room at a dedicated venue suits one small team. It is simple to arrange, but you travel as a group, and larger numbers must be split across rooms. Group limits and session lengths vary between venues, so check with the venue before you book.

VR escape room

Our VR Escape Room runs in teams of 4 to 10, for up to 500 participants in the same space. Each team needs about 2 x 2 m, which is a table, so it can be set up on a table in an office atrium or breakout area. No VR experience is needed. In our photos, one player wears the headset while teammates work from the manual and clues on the table, so the rest of the team have work to do too.

Escape Room in a Box at your workplace

Escape Room in a Box is part of our indoor team building range, which runs from 10 to 100+ people. We deliver across the UK, so there is no group trip to a venue. The same range also includes formats such as CSI Investigation.

Virtual or online escape room

Online escape rooms are a fit for remote or hybrid teams, usually played over video call. We don’t run an online escape room ourselves, so ask a specialist supplier. If most of your team is in one place, in person is usually simpler.

Which format for which group

Pick by headcount first, then space, then how your team works. As a rough guide:

  • 10 to 20 people: a venue room works if you can travel, or an in-the-box session at the office if you can’t.
  • 20 to 100 people: Escape Room in a Box or a VR escape room, both of which we can deliver to your workplace or event space.
  • 100 or more: the VR escape room, since teams play side by side and the format runs up to 500 participants.
  • Hybrid teams: consider an online room, or run the in-person group on site and agree an alternative for remote colleagues.
  • Mixed abilities: ask the supplier how roles can be shared, so people who prefer not to wear a headset can contribute through the manual and clues.

Tips to get more from an escape room

  • Mix the teams. Put people from different departments together, so the event builds new connections instead of confirming old ones.
  • Include the quiet members. Give roles that do not rely on shouting: reader, note-taker, timekeeper. Ask the supplier how turns with the headset are shared.
  • Debrief. Spend five minutes asking what helped, what got in the way and what the team would change.
  • Confirm accessibility needs. Tell the supplier early about mobility, vision, motion sensitivity or neurodiversity, and ask what adjustments they can make. Do not assume.
  • Keep it inclusive. No alcohol is needed, so it suits non-drinkers.

Escape room team building ideas

Once you have the format, ask any supplier what they can offer on these points:

  • Theme: the story the teams play through, and whether it can be seasonal.
  • Difficulty: easier for first-timers, harder for groups that like a challenge.
  • Competition: teams against each other, or everyone working towards one goal.
  • Branding: whether the session can carry your company branding. For our corporate events, custom branding and theming are available.

FAQs

How long does an escape room team building session take?

It depends on the format and the supplier, so check the timings before you book. A venue booking usually runs to a fixed slot, while a hosted event at your workplace can be fitted around your agenda. Allow extra time for the briefing, for rotating teams and for a short debrief at the end.

Are there escape room team building ideas for large groups?

Yes. Venue rooms rarely cope with large groups, so look at formats built for scale. Our VR escape room runs teams of 4 to 10 and can host up to 500 participants, with each team needing about 2 x 2 m, roughly a table.

Can we do escape room team building online?

Yes, online escape rooms exist and suit remote or hybrid teams, usually run through video calls. We don’t offer an online product, so ask a specialist supplier. If part of the team is in one place, a hosted in-person format is often easier to run.

Are there free or printable escape room team building games?

There are printable puzzle packs online, and they can work for a small group with a patient organiser. You will need to build, hide and run the game yourself, and you can’t take part. A supplier-run session removes that workload so you can play too.

How many people can do an escape room team building event?

A single venue room usually takes a small group, so check the limit with the venue. For bigger numbers, our VR Escape Room works in teams of 4 to 10 for up to 500 participants, and Escape Room in a Box is part of our indoor range, which runs from 10 to 100 or more people.

Can I find an escape room near me for the team?

Search results will show local venues, and they are fine for one small team. If you have a bigger group, or don’t want to arrange travel, we can deliver an escape room to your office or event space anywhere in the UK.
